Job Description

1. Position: Procurement Coordinator (One)

Job Location: WVI- NER HQ, Lalitpur with visits to the Response Districts
Purpose: Ensure quality, integrity, financial accountability and cost efficiency in all purchasing procedures and practices to maximize the resources of WVIN Response Project.

Job Responsibilities:

ï‚· Prepares and processes requisition & all purchase requests received
ï‚· Send Request for quotation for preferred/potential suppliers

ï‚· Ensure procurement biddings requirement is in place for assigned purchase request (quotation registration from, sealed bids, sample verification report etc)

ï‚· Coordinate with Procurement Admin to organize the purchase committee & review by them; as well as prepare necessary documentation.

ï‚· Contacts and receives informal quotes from appropriate suppliers; compares costs and evaluates the quality and suitability of equipment, materials and supplies

ï‚· Participate in the development of specifications for equipment, products or substitute materials;

ï‚· Implement effective Supply Chain Management (SCM) process for non-critical items. ï‚· Communicate processes and update status to key stakeholders

ï‚· Carry out price surveys semi-annually in order to purchasing at best price and
review supplier lists annually in line with their price levels to ensure cost-efficient
procurement.

ï‚· Partner with finance, operation, technical staff and NGO Partner in the approval of Procurement Plan on the need of community and operation plan.

ï‚· Lead all required changes to plan as budgets are amended during the year;

ï‚· Communicate strategic/central buying categories to NO SCM and support in development of commodity catalogue.

ï‚· Verifies budget codes and availability of funds in collaboration with finance;

ï‚· Support in developing annual sourcing strategy based on the consolidated Supply Chain Procurement and Implementation Plans.

ï‚· Identify and implement cost savings opportunities for existing large and/or key contracts. Accomplish a gradual reduction of overall supply chain spending for supplier products and services within the organization/NER level.
ï‚· Lead negotiations for strategic and large supplier contracts for the procurement of information technology related software, hardware and services. Negotiating favorable pricing, contractual terms & conditions and manage contracts.

Minimum Qualifications and Experience required:

ï‚· Bachelor’s degree in Management or related field with three to five years’ professional experience Procurement and Logistics Management

ï‚· Strong negotiation, interpersonal skills, organizational, administrative and facilitation skills

ï‚· Competent in the use of Microsoft Office computer programs including Word, Excel and PowerPoint

ï‚· Willingness to travel to various Response Districts as per need (30% or more)

ï‚· Should have excellent communication skills both in English and Nepali - verbal and written
ï‚· Should possess strong analytical skills

ï‚· Demonstrate collaboration & team building skills and able to interact with diverse groups

ï‚· Excellent interpersonal skills, organizational, administrative and facilitation skills

ï‚· Proven ability to write and produce publications

ï‚· Have positive learning attitude and concern for the poor and vulnerable people
ï‚· Have high level of integrity and honesty, self-motivated, confident, and independent
