Job Description

POSITION SNAPSHOT

Provides effective and efficient support to the MD’s office and undertakes all the activities including management of documentation, information system, planning and organizing of events and meetings, travel bookings, liaising with respective stakeholders inside and outside the organization for uninterrupted workflow. The Executive Assistant also ensures that the protocols of meetings, events, and communication flow are followed, the minutes are recorded and communicated to respective executives and business heads and follows up on actions required and fulfillment of agreed deadlines.

MAIN RESPONSIBILITIES

  1. Providing administrative support to the senior executives.
  2. Screening incoming phone calls, inquiries, visitors, and correspondence of the senior executives and route them accordingly or take messages on their behalf and communicate messages and information to the executive.
  3. Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate executive.
  4. Draft, review and send communications on behalf of senior executives.
  5. Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters.
  6. Organizing meetings, including scheduling, sending reminders, and arranging logistics.
  7. Taking meeting minutes.
  8. Managing, coordinating, and arranging senior executives’ travel and travel-related activities, including hotel booking, air ticketing, transportation, meal coordination.
  9. Maintain various records and documents for senior executives.
  10. Organize and maintain office filing system.
