Job Description
KEY AREAS OF ACCOUNTABILITY :
Quality implementation of sponsorship program
- Execution of Sponsorship program as per the plan, quality, compliances and guideline under BFO
- Coordinate with FO and CO level Technical team for technical assistance in the Sponsorship Program.
- Support and ensure kick off/ program orientation of the Sponsorship Program at partners level
- Provide clear directions/guidance to the project team, partner organization’s team in designing cost effective, result oriented projects/programs, in collaboration with government (as appropriate) for long lasting impact on target beneficiaries in line with SCI’s CSP, CAP and member country requirements.
- Ensure quality benchmarks are being used by the project team
- Ensure supplies are of quality and cost effective and procured in a timely manner
- Identify capacity strengthening gaps of SCI and partner staff under the sponsorship team and ensure capacity strengthening activities are designed and undertaken
- Ensure a fit for purpose structure of the sponsorship team both at SCI and at partners level.
- Explore and implement innovative and new/ effective initiatives in the program with the support of technical team and sponsorship team.
- Ensure that programs are designed and, implemented in line with the principles of safer programming
- Identify areas/topics for research and studies under sponsorship program and share its findings with all relevant internal and external stakeholders
- Comply with Save the Children’s policies and practice with respect to safeguarding, code of conduct, health and safety, equal opportunities and other relevant policies and procedures.
- Ensure program interventions are developed to address the issues of Children impacted by discrimination and inequality for GESI, Disability, and Climate change prespective.
Project / program management and development
- Lead, provide oversight and manage sponsorship program in BFO.
- Develop detailed program implementation plan/ work plans along with budget; conduct periodic review and adjust additional budget with contingency planning and track to achieve the monthly KPIs.
- Ensure all the project documents are in place and referred as when required as per Program Operational Manual.
- Ensure the implementation of Project Management Methodology (PMM) tools as appropriate in sponsorship program and readiness for PRIME adaptation as SCI priority.
- Ensure project tracking systems are developed for tracking progress, budget expenses on monthly basis; undertake immediate and prompt corrective actions as required in close coordination with Sponsorship Program team and finance point persons in BFO and in KTM POD team.
- Organize Comprehensive Compliance Monitoring/Joint Monitoring based on risk assessment
- Conduct periodic program review meeting to see/share the progress, lesson learnt, best practices and suggestion from partners for further improvement in program management/ implementation of sponsorship program
- Ensure documentation and dissemination of sponsorship program progress with support from the Advocacy, Communications, Campaign and Media (ACCM) team
Program Partners’ Management
- Ensure adequate technical and managerial backstopping is provided to Partner NGOs to enhance their organizational capacity for better performance.
- Ensure that project team embodies the SCI partnership management principles while working with partner organisations .
- Ensure that partnership management is in line with Nepal Partnership Strategy and follows the standard SCI and Nepal partnership management processes and systems.
- Ensure phase in and phase out plans for partners are in place and documented.
- Ensure project team are for regularly following up and supporting the PNGOs for project / program and budget progress, verifying implementation, monitoring, reporting, documentation etc.
- Ensure SCI team are aware on SCI policies and compliances and are facilitating / orienting partners accordingly.
- Support the roll out of Nepal Partnership Graduation model and localization policy at FO and partner level
- Ensure that partners receive adequate support and facilitation for compliances with safer partnerships requirements and standards
Administrative Management
- Ensure daily administrative management of sponsorship team
- Perform role as budget holder of sponsorship program in FO
- Review / approve or necessary action on the sponsorship program related budget and activities
- Process annual sub-award or amendment of the sponsorship program with partners with the support of sponsorship team
- Ensure the clear lines of communication are maintained between the SCI staff, PNGOs and Country office.
- Coordinate with supply chain, finance, technical team and MEAL team and ensure timely support into the sponsorship program/ partners.
People Management
- Conduct periodical assessment/review and plan for required staff/project structure for the efficiency of sponsorship program
- Support HR department for sponsorship staff recruitment process and engage in the recruitment of staff under sponsorship program
- Update and submit the job description of the staff under sponsorship program as required.
- Ensure all sponsorship team have clear performance objectives, based on their job descriptions and evaluate the staff's performances and provide feedback for their performance improvement and capacity building
- Ensure all staff members have monthly work plans in place with substantial amount of time provided to monitoring of project/partners using standard check-lists/ monitoring plan/ Risk matrix and well documented reports of field visit and support.
- Provide mentoring and coaching to the staff members for their capacity building.
Financial Management
- Ensure sponsorship program annual budget are clearly developed in phase budget frame, with monthly, quarterly breakdowns.
- Ensure that the sponsorship team closely follow up and ensure project / program activities and budget progresses as per plan.
- Ensure sponsorship team carries partner wise follow up of activities progress and expenses tracking and proceed with corrective actions if needed.
- Function as the budget holder for sponsorship projects and ensure the management of budget is in line with the approved plan/ ceiling.
- Ensure monthly tracking of budget planned versus expenditure are in place
- Closely work with finance team and draw areas of improvement in the project
- Ensure the implementation of audit plan and carry out recommendations / action plans.
Reporting
- Ensure monthly, quarterly, half-yearly and annual progress reports (both program and financial as per requirement) are prepared, monitored and reviewed as relevant
- Ensure the data consistency, and use of digital documentation of data. Ensure partners are submitting their reports on time.
- Lead, Coordinate and ensure the engagement of technical Managers and sponsorship program team in the report writing process of sponsorship program
- Ensure timely and quality reporting to donors.
Representation
- Represent the organization in government, international agencies, networks and donors as and when required by BFO.
- Maintain close relationship with Provincial and local governments, I/NGOs, UN, & donors to ensure that programs are implemented in an effective and coordinated manner and maintain good public relations
Emergency
- Ensure District/ Municipal level emergency response process if required.
- Supporting Save the Children’s full-spectrum mandate as well as being the leader in emergency preparedness and response for children.
Occasonal Significant Duties
- Arrange and lead visit of visitors in the Sponsorship Program site
- Perform duties as and when required or assigned by the organization / line manager
Job Specification
Qualifications and Experience:
- Master's degree or equivalent in Management or related discipline(s)
- At least 7 years of working experience in similar field(s)

Sound knowledge and experiences in designing and implementation of pro-poor livelihood and marketing programs along with a good knowledge of child sensitive social protection.
