Job Description

Administrative Officer – Based in Nepalgunj

The Administrative Officer is responsible for field office operations, management of procurement, services, travel and inventory. The Administrative Officer works closely with different departments and units to ensure timely, appropriate and efficient office operations and within FHI 360 Nepal policy and procedural guidelines.

Key Responsibilities:

  • Ensure the FHI 360 Nepal procurement process strictly adheres to FHI360 Nepal policy including review of all procurement requests for completeness of necessary information, soliciting and reviewing quotations on local procurement items, preparing purchase orders and obtaining necessary signatures and approvals.
  • Process local Expense Authorization (EA) of all staff and visitors. Arrange hotel reservation, ticketing, vehicle rental of all staff and visitors as per FHI 360 travel policy.
  • Assist with logistics support for workshops, trainings and conferences.
  • Manage inventory of FHI 360 Nepal Office in Nepalgunj.
  • Manage FHI 360 Nepal vehicle in Nepalgunj and its operations and also ensure that vehicle policy and procedures are strictly adhered.
  • Supervise administrative services and provide timely administrative support within FHI 360 Nepal Office in Nepalgunj.

Minimum Requirements:

  • Bachelor’s degree in Humanities, Business Management or related social science or behavioral sciences with five years’ experience in administrative and office procedures.
  • Strong knowledge and experience with office management systems.
  • Strong negotiation, coordination, communication and interpersonal skills.
  • Proactive and independent approach to work with willingness to undertake additional responsibilities.
  • Ability to initiate and implement activities with minimal supervision and manage high volume work flow with multiple tasks.
  • Ability to work well with others and to develop and maintain positive working relationships.
  • Resourceful in resolving problems and initiating solutions.
  • Fluency in English and Nepali (spoken, written, typing).
