Job Description

The Information and Knowledge Management Officer will spend around 20% of the working days on visiting project districts.

Reporting to: Team Leader, Safer Migration Project

Job purpose:        

  • The overall responsibility of the position holder is to lead the project information and knowledge management system;
  • Ensure effective and regular communication on the SaMi project and build the capacities of stakeholders on communication, information and knowledge management.

Duties and Responsibilities
1.    Compliance to Policies, Rules/Regulations and Guidelines

  • Adhere to relevant policies, procedures, regulations and guidelines of HELVETAS Swiss Intercooperation (Personnel, Financial, Administrative policies; Security Response Guide; Gender Equality and Social Inclusion Guide; Sexual Harassment & Mobbing Policy; Code of Conduct Against Corruption etc.) and other specific policies applicable for SaMi;
  • Ensure Conflict Sensitive Programme Management at all levels;
  • Compliance with the GoN and SDC policies and approaches as relevant and required.

2.    Information, Documentation and Knowledge Management

  • Structure and update a database of SaMi’s publications, tools, pictures, videos, testimonies and other products on SaMi’s experience and knowledge;
  • Advise on the needs and priorities for documentation of project components and processes;
  • Support the project team in documenting reflections, processes, achievements and outcomes of the SaMi project;
  • Facilitate workshops, learning exchanges and processes;
  • Take a lead in proposing, preparing and drafting publications on SaMi knowledge, lessons learned and advocacy material by developing audio-visual and printed documents such as documentaries, booklets, reports, case studies, etc.;
  • Support in the development of Information, Education and Communication (IEC) materials and manuals for project activities in coordination with the convened team members;
  • Contribute to the writing of SaMi’s periodic progress reports as required;
  • Contribute to the preparation of the Yearly Plans of Operation (YPO) and activity plans;
  • Advise project components aiming at or necessitating information/awareness raising activities.

3.    Communication, visibility, corporate identity

  • Update/review and share SaMi communication strategy as appropriate;
  • Promote the visibility of SaMi in all public products relating or referring to the project;
  • Ensure the implementation of HELVETAS corporate design standards in all publications;
  • Ensure that communication standards and procedures agreed with the Government of Nepal, the donor and other partners are respected (use of logos, validation, etc.);
  • Organize the sharing and dissemination of SaMi knowledge and documents to a wider audience at local, national and international level;
  • Keep public information on SaMi up-to -date, regular updates of the website and project sheets.

4.    Coordination, Collaboration and Capacity building

  • Build the capacities and accompany SaMi’s partners to document and disseminate information on foreign employment as appropriate;
  • Work in coordination with the project team on all matters related to knowledge and information management;
  • Assist the SaMi project in meetings and towards external stakeholders when requested;
  • Assist the team in any other task when required.

Job Requirements
A.    Minimum Education Attainment: Master’s Degree in Communication and Journalism, Social Science or in any other relevant field.

B.    Minimum Professional Experience: Minimum 3 years of professional experience in the field of communication and/or knowledge management.

C.    Required Competencies:

  • Experience on communication and knowledge management within an International Organization and/or INGO will be considered as an asset
  • Good communication and facilitation skills
  • Solid experience in capacity building, primarily in information, communication and knowledge management
  • Excellent documentation and report writing skills in English and Nepali
  • Excellent skills on drafting publication and IEC materials
  • Proficiency in using MS Office application and database software
  • Excellent analytical skills
  • Excellent interpersonal, inter-cultural competencies, team player and effective communicator
  • Commitment towards gender equity, social inclusion and poverty reduction
  • Experience in rights-based projects and labour migration would be an added advantage
  • A good team player, flexible and result oriented.
