Job Description

Job Summary:

The Camp Management Assistant (CMA) will report to Camp Management Senior Assistant. H/She must adhere to the principles of LWF Nepal and must follow in thought, words and deeds. Work together joined hand in hand to meet the goal of the organization. His/Her duties include the following

  1. General:
  •  Familiarize and work in accordance with the Vision, Mission, Overall Goals and Objectives of LWF as a Humanitarian Organization.
  • Familiarize and work in accordance with the Policies, Manuals and Guidelines of LWF Nepal.
  • Familiarize and work in accordance with the established strategies of LWF Nepal and the partner organizations.
  • Be free from the political influence of any parties and the political activities.
  1. Specific
  • Supervise and monitor closely all the activities in the camps undertaken by LWF-Nepal.
  • Administer, instruct, guide, supervise, and facilitate the camp level staff.
  • Prepare and submit monthly work plan and progress reports.
  • Coordinate with construction supervisor in order to carryout technical tasks at camps
  • Prepare the financial expenditure plan of infrastructure & Site Planning unit and progress status on monthly basis.
  • Update shelter/population timely.
  • Facilitate Social Sub Committee (SSC) and Infrastructure Sub Committee (ISC)/Incentive Pool In-charge (IPI) in planning and implementation of all community services and repair and maintenance activities.
  • Check and certify camp materials requisition forms (non food and construction materials) based on actual need and forward these to regional office in Damak.
  • Follow up and coordinate with base office for timely delivery of materials as per forwarded requisition forms.
  • Check on proper use of materials issued to individual refugee families.
  • Assure activity implementation within given time frame/work plan.
  • Organize verification of camp activities weekly along with ISC/IPI.
  • Monitor the use of diesel and make sure the water pumping hours is strictly followed.
  • Make sure that generators are timely maintained and properly functioning.
  • Coordinate with Refugee Coordination Unit (RCU), Camp Management Committee (CMC) and other related refugee groups/organizations in LWF-Nepal related works/issues.
  • Report on incidents, misuse of materials, and any dispute immediate to Camp Management Snr. Assistant/Infrastructure and Site Planning Officer (ISPO).
  • Visit and monitor the community service activities and all type of training activities and give feed back to organizer and Community Services Officer in regional office for the betterment of the program.
  • Oversee the BRWF and BRCF implementing activities in the camps and suggest as appropriate.
  • Financial monitoring in relation to the quantity and quality of work done in the camps.
  • Check and approve materials issue in the camps.
  • Control the quality and quantity of direct camp delivery materials.
  • Monitor the materials remained over stock in the camp and plan for early use or redelivery to other camps/base office in the case of non-consumption in the assigned camp in time.
  • Maintain proper record on received and issued materials as per job code (materials control sheet).
  • Maintain individual account in ledger book for each job code as per “materials delivery form” and “materials received note”.
  • Assure proper record keeping by camp incentive storekeeper and verify store inventory routinely.
  • Forward the month end stocks balance of all materials with the information of immediate use to central office
  • Represent LWF-Nepal in camp level meeting.
  • Participate in program meeting in project office.
  • Prepare completion reports including actual cost and forward to the Camp Management Senior Assistant of all construction activities and non food items
  • Prepare monthly/quarterly progress report and forward it to Camp Management Senior Assistant in the regional office.
  • Maintain requisite relationship with other agencies, local authorities, local communities, contractors, suppliers and refugee committees/Communities
  • Monitor and Coach incentive workers.
  • Make sure that proper job description for all incentive workers are in place.
  • Make sure the right implementation of LWF's code of conduct in camps.
  • Check and verify IPWs’ and other refugee incentive workers’ daily attendance records and recommend for payment.
  • Prepare monthly work /camp activities plan and progress (including available financial /expenditure information) to ISPO.
  • Support with camp and host community-based jobs related to livelihoods and community service.
  • Perform any other tasks, which may be assigned by Camp Management Snr. Assistant, ISPO and RPCE.

Other duties:

  • Ensure Complain Response Mechanism compliances of LWF Nepal policies, child protection policy and code of conduct
  • Contribute to strengthen gender justice, social inclusion and accountability in LWF Nepal.
  • Contribute to strengthen resource mobilization in LWF Nepal and LWF Nepal’s forums and meetings as and when required.
