Job Description

Position: Administrative Officer
No. of vacancies: 1 (One)

Duration: Till December 2019 (Extendable if funding and need permits) Location: Habitat Field Office - Itahari
Reports to: Program Manager
Field Visits: Travel to project areas

Core Function:

The Administrative Officer is responsible for providing administrative, logistics and clerical support in order to ensure effective, efficient and accurate administrative operations under direct supervision of Program Manager.

Duties and Responsibilities:

Office Management

  • Ensure overall office management under the direct supervision of Program Manager, ensuring office cleanliness, repair and maintenance of office assets and facilities, facilitates administration including office rental, utilities, contracts etc.
  • Receive and inspect office supplies (consumables), track damages and discrepancies, fill supply requisitions; disbursement of goods according to the verified requests.
  • Monitor and maintain office equipment and inventory supplies; orders replacement supplies as needed.
  • Keep record of office inventory and maintain inventory ledger.
  • Custody of all office assets, their safety, insurance, tracking movements etc.
  • Handle the vehicle management system as per organization policies and practices.
  • Regular update of the asset register and physical verifications.
  • Ensure that all office facilities & equipment are functional all the time and oversee arranging any repairs, replacements & maintenance.
  • Oversee the activities of Office Assistant and Driver.
  • Ensure any differences or discrepancies are brought to the attention of Program Manager, and proactively follow-up on appropriate action.
  • In-charge of attendance management and monitoring of online leave management system

Logistics and Procurement Management

  • Provide logistical and procurement support for project activities; including transport for field visits, events such as workshops, meetings, big builds and Global Village (GV)
  • Coordinate with the departments regarding their request of domestic flight tickets, hotel booking etc. and make the necessary arrangements.
  • Facilitate the reservation of venues, hotels, ticketing, transportation and other services for functions that are related to events, big builds and GV teams.
  • Provide oversight to Office Assistant and Driver to plan and monitor their activities and ensure the accomplishment of their assigned tasks.
  • Maintain the documentation properly for the payment of all received invoices.
  • Assist all staff on their logistics requirements.

Other Support

  • Provide support in documentation of original contracts, agreements and other hard copy files.
  • Maintain and ensure the safety and security concern as per organization’s policy and practice.
  • Maintain the confidentiality of the organization.
  • Other related duties as assigned by supervisor

Knowledge and Skills:

  • Proficient in computer skills, including Microsoft Office Suite (Word, PowerPoint, and
  • Excel), scheduling appointments/updating calendars a must
  • Good communication skills in English and Nepali both in writing and speaking
  • Good interpersonal and team work skills
  • High level of integrity and ability to drive for results with accuracy
  • Work prioritization and time management skills, pro-activeness and self-starter

Education Qualification, Professional Experience:

  • Bachelor’s Degree in Management or any relevant discipline
  • At least 2 years of previous work experience in related field

Organization Summary

Habitat for Humanity started working in Nepal since 1997. In the eight years till 2005, Habitat for Humanity Nepal has helped 830 families to build decent homes in the districts of Kailali, Surkhet, Kaski, Chitwan and Jhapa. To increase its impact, HFH Nepal began to leverage on partnerships with non-governmental organizations, microfinance institutions, and village lending and saving groups. Driven by the overall vision of the organization, the Meaningful Life through Housing Campaign was launched in July 2011. Through the campaign, HFH Nepal aims to develop a people-driven and community-owned methodology to address the need for decent housing in a sustainable and viable way. Programs are largely focused on rural housing in eastern and western Nepal.

In June 2011, HFH Nepal celebrated its 10,000th family served and by the fiscal year ended 30 June 2014 more than 54,000 families were helped. The momentum continued until Nepal was hit by two major earthquakes on 25 April and 12 May, 2015.

The earthquakes, in April and May of 2015, destroyed and damaged more than 880,000 houses killing over 8,000 people. HFH Nepal’s disaster response included rubble removal with the help of local volunteers, distribution of temporary shelter kits and water backpacks for the affected families to enable survivors’ to fetch and store water. Through generous funding, HFH Nepal is helping affected families by providing technical assistance in conducting safety assessment of the damaged houses and distribution of winterization kits to the affected families to protect against the cold weather.

Through the Build Nepal strategy, Habitat Nepal is committed to building homes and hope in both disaster-affected and non-affected areas across the country.
