Job Description
Responsibilities:
- Assists the MD / Chairman with travel arrangements, correspondence and duties as they relate to the ownership group, company expenses and all other needs as requested;
- Completes a broad variety of administrative tasks for the MD / Chairman including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging travel plans for several board meetings throughout the year; and processing registration, hotel and travel for all executive level conferences;
- Produces PowerPoint presentations with video, reports using excel and graphics for speaking events and pertinent meetings including ownership, employee and business partners;
- Schedules Microsoft Teams, GoToMeeting and Zoom calls as needed for the MD / Chairman, executive and senior management staff and others.
- Plans, coordinates and ensures the MD / Chairman’s schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating the best scenario for direct access to his time and office;
- Communicates directly, and on behalf of the MD / Chairman, with executive staff, ownership group, business associates and others, on matters related to his initiatives;
- Provides a bridge for smooth communication with internal departments to maintain credibility, trust and support with senior management staff;
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the MD / Chairman, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response;
- Works closely and effectively with the MD / Chairman to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping him updated;
- Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures;
- Manages contacts made by the MD / Chairman and supports the cultivation of ongoing relationships;
- Assists with editing correspondence as needed and directed by the MD / Chairman;
- Ensures that the MD / Chairman’s bio is kept updated and responds to requests for materials regarding him and the organization in general;
- Maintains very strong relationships with owners, partners, stakeholders, vendors, staff and other essential personnel;
- Assists other executives and staff to encourage and support a team environment;
- Other duties/special projects as assigned;
Job Specification
- MBA with 2 years of experience in admin role;
- Strong decision-making capability and emotional maturity;
- Highly resourceful team-player but also extremely effective independently;
- Strong organizational skills and ability to multitask;
- Proficient time management skills to achieve high performance goals and meet deadlines in a fast-paced environment;
- Flexible, compassionate and open minded;
- Ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of service and response;
- Excellent written and verbal communication skills as well as attention to detail;
- Forward looking thinker who actively seeks opportunities and proposes solutions;
- Skilled in the use of standard office equipment;
- Strong Experience with Microsoft Office Suite (proficiency with Outlook, Teams, Word, Excel and PowerPoint needed);
