Job Position: Logistics and Procurement Assistant – two positions

Duty Station: Kathmandu with need for frequent field visits

Reports to: Logistics and Procurement Officer

Purpose of the Post:

Under the direct supervision of Logistics and Procurement Officer, the incumbent provides logistic and procurement support to the OHW office.

MAJOR DUTIES AND RESPONSIBILITIES

Logistic

• Assist to maintain and ensure up to date store records are updated all the time.
• Ensures timely transport of program supplies and equipment to the field/district offices.
•  Collects and maintains required receipts and records.
• Assist Logistics and Procurement Officer for proper record keeping of materials (equipment, stationery, IT items etc) and issue from the store.
• Ensure that all inventory system and procedures are being followed and documented as per OHW policy.
• Ensure all materials are physically delivered before making store receipt or before booking in the stock.
• Works closely with LMO to ensure that the materials (equipment, stationery, IT items etc) are sufficient for next supply and monitors closely the supply functions as per requested by field/districts.
• Tag and enter the non-expendable properties in the Data Base.
• Assist physical verification team of goods in stock in all stores including asset items.

Procurement:

• Maintain up to date procurement records/registers.
• Assist to collect the requirements lists from program districts and OHW offices.
• Assist to coordinate with all the concerns in ensuring the specification and quality of the materials to be purchased.
• Assist to prepare the Sealed Quotation Forms, Agreement Papers to be signed with the vendor or the contractor etc required along the process of procurement.
• Assist to prepare the comparative charts (tabulation) for finalization of quotation, sealed quotation etc.
• Assist to produce various reports on the status of materials and deliveries and dispatch them to the concerned section.
• Assist to prepare the purchase orders and issue to the suppliers as per the instruction and follow-up of delivered materials with concerned section and vendor.

Others

• Carry out any other tasks assigned by the senior management team, Bid Evaluation Committee team and the supervisor.

Qualification and Experiences:

·         10 +2 pass with 3 years’ experience or Bachelor level education degree with health background such as CMA or ANM.

·         Experience in logistic supply chain management and inventory keeping in the health institutions or health related organization. 

·         Preference will be given to the candidates with specialized in warehouse/Asset management.

·         Minimum 2 years of work experience in related field.
