Job Description

Position: Finance & Admin Officer
Responsible to:  Finance and Admin Director

Duty Station/Location: iDE Nepal Regional Office Janakpur

Purpose of Position:

The regional Admin & finance officer will facilitate day to day book keeping and and financial reporting Country Office. The purpose of the job is to ensure efficient and effective operation of the financial aspects at regional level in line with policies and procedures of iDE Nepal and donors. S/he will work remotely with the central finance & Admin team to support overall financial management.  More specifically s/he will be responsible for the following tasks:

a. Major Duties and Responsibilities

• Maintenance of accounts and records as per the established standards.
• Data Entry, Verifying and posting in the accounting system. In doing so, Ensure compliance with the project agreement, iDE policies, procedures and controls.
• Manage banking transactions related to the project, including preparing bank transfer requests,
Submitting them to the bank, monitoring transfers and preparing monthly bank reconciliation
Statements and reporting.
• Coordination with Local partners and for preparation and consolidation of periodic financial reports. Check budget lines to ensure that all transactions are correctly booked to the correct budget lines;
• Preparation of budget forecasts and drafting justifications for variances.
• Dealing with tax administration including preparation of tax deposit slips, drafting letters, filling and verifying e-TDS, diplomatic refunds.
• Maintain petty cash transactions, including writing receipts, preparing payment request forms,
Disbursement of cash and clearance of advances;
• Liaison with internal external auditor regarding annual audit according to the audit agreement.
• Scrutiny of the books, reports, and records to ensure compliance with project agreement.
• Continuously improve systems & procedures to enhance internal controls to satisfy audit

 

Requirements;
• Reconciliation of fund balances of partner and central offices.
• Prepare and update project inventory in standard format
• Undertake other relevant matters assigned by the Supervisors.
• Maintain the record of leave accrued, taken and balance of all the staff within the region.
• Inventory Management of assets of regional office.
• Logistic management for the events like workshop, training and visits.
• Perform other financial and administrative task as and when required.
• Vehicle management
• Record keeping of timesheet
• Day to day office management.
• Oversee the claim of medical expenses

Required qualification and experience:
Academic Qualifications and Experiences:


• Bachelor degree accounting, finance or related field with at least 3 years of experience or Master Degree Accounting, finance or related field with at least 2 years of working experience in related field.
• Good knowledge of administrative and accounting regulation and procedures.
• Updated knowledge of relevant provisions of income tax act , VAT act
• Good interpersonal skills and the ability to work effectively with range of institutions.
• Very good computer skills (Specifically Microsoft Excel)
• Working experience in FAMAS Accounting system would be an added advantage
