Job Description

Detailed Job Description / Requirements:

Logistics

  • Carry out day to day logistics functions such as procurement, stock management, equipment handling, asset tracking, warehouse management, distribution etc.
  • Petty cash management for Medair field base(s).
  • Carry out frequent and thorough checks on quality of equipment and supplies ensuring that items are maintained in good condition and that Medair are receiving ‘value of money’ on the items purchased.
  • Ensure the security of the Medair base(s) and all Medair property and equipment.
  • Maintaining and checking fleet log and reporting to logistics officer for any anomalies.
  • Work pro-actively to prevent potential loss or fraud in financial activities by working with relevent colleagues to improve transparency and ensure best use of available Medair assets and resources.
  • Any duty as reasonably assigned by line manager.

Administration

  • Ensure a clear and transparent paper trail is in place for all logistic activities(e.g. purchase requests, waybills, stock control, asset tracking, etc.), that records are kept in an orderly and timely fashion and that the filing (archive) system is in line with Medair and donor requirements
  • Meet the logistics related administrative requirements of Medair, donors, local legislation, suppliers, contractors and any other stakeholders, so that the logistical aspects of the programme function efficiently, effectively and with integrity.
  • Contribute, as required, to the accurate and timely reporting of activities through weekly and monthly reports

Communication

  • Develop and maintain positive relationships with local vendors, suppliers, local authorities, implementing partner NGO representing Medair and ensuring good co-operation and partnerships.
  • Maintain a transparent, honest and supportive communication structure with colleagues to ensure they are kept informed of applicable logistical activities and requirements.

Staff Management

  • Work with other staff with an emphasis on developing individual and team capacity to handle a variety of logistical tasks as efficiently and effectively as possible
  • Work with casual labour (including hiring, co-ordinating workload and payment) to achieve specific, time-bound tasks.
  • Supervise, line manage field support staffs, conduct regular appraisal, give out instructions on daily tasks.

JOB SPECIFICATION

  • At least 10+2 or intermediate degree graduate in management or administration or any relevent field with 1+ year of experience  or Bachelor degree with 1 year of experience in relevant field.
  • Excellent communication and interpersonal skill with fluency in spoken and written English and Nepali languages.
  • Detail oriented, precise, good with working with number, self motivated.
  • Work pro-actively, can prioritize work to meet deadlines and handle work pressure.
  • Willingness to work in remote and rural VDC of Ramechhap district in basic living condition.
  • Sound working knowledge on office applications, outlook, powerpoint etc.
