Job Description

Administrative Assistant-1(pos)

This post is open only to nationals of Nepal or candidates with a valid travel and employment authorisation documents issued by the relevant authorities in Nepal. The United Nations shall NOT be responsible for providing assistance to applicants in procuring these required travel and/or employment authorisation documents.

General Requirements:

Within delegated authority, the incumbent is responsible for the following duties:

 

  • In coordination with the assigned ICS Administrative Assistant, reviews, processes and follows up on actions related to the administration of UNIC Kathmandu’s human resources, e.g. recruitment of staff and contractors/consultants, placement, promotion, performance appraisal, relocation, separation of staff members, travel, training etc., ensuring consistency in the application of UN rules and procedures.
  • Responds to enquiries and provides information and advice to staff regarding their entitlements, administrative procedures, processes and practices, conditions of service, duties and responsibilities, and entitlements under the Staff Rules and Regulations.
  • Assists in the preparation and review of financial and human resource proposals/requirements, in coordination with local UNDP administrative staff.
  • Assists in the preparation of budget performance submissions and finalization of budget performance reports, analysing variances between approved budgets and actual expenditures, in coordination with local UNDP administrative staff.
  • Drafts routine correspondence to respond to enquiries with respect to relevant administrativeand personnel matters; coordinates frequently with the Finance and Administrative
  • Assistants in the Centres Operations Section at Headquarters and liaises frequently with other UNIC staff.
  • Performs other administrative duties as required (e.g., travel administration, physical space planning and the identification of office technology needs and maintenance of equipment, software and systems, assistance in the organization and coordination of seminars,conferences and translations, monitoring of accounts and payments to individual contractors for services, etc.).
  • May be responsible for guiding, training and supervising the work of more junior General Service staff.
  • Perform other related duties as assigned
Education
A high school diploma or equivalent is required. Passing the United Nations Administrative Support Assessment Test (ASAT) or the Global General Service Test (GGST) at Headquarters or an equivalent, locally administered test at Offices Away from Headquarters is desirable.
