Job Description

Position Title: Finance and Admin Assistant
Location: Chunadevi, Kathmandu, Nepal
Length of contract: One year (probability of extension) with three months’ probation period
Salary: Negotiable
Reports to: Finance and Admin Manager

Duties and responsibilities:

  • Ensure proper recording of financial transitions including bills, vouchers and other supporting documents.
  • Timely calculations and payments of wage incentives, salaries for the staff/payroll, tax and CIT deductions and deposits.
  • Timely entry of ETDS for the verification.
  • Maintain Money Works (accounting software) entries of financial transactions daily.
  • Day to day accounting, finance and administrative support of the office activities.
  • Process payments to venders invoice and monitor payments.
  • Handle procurement of goods and services for office, including dealing with vendors.
  • Support to handle Human resource related task: Preparing annual holiday list, Leave record, Holiday notifications and any other administrative information to employees.
  • Supporting with logistic availability to make the necessary arrangement.
  • Support in drafting professional correspondence such as contracts, agreements letters, official letters needed in organization with proper recording and filing for future reference.
  • Prepare and update fixed assets register book
  • In conjunction with the Finance and Admin Manager ensure that bank related transactions are carried on a timely matter.
  • Assist Finance and Admin Manager to prepare annual financial statements and preparation of year end accounts in advance of the annual audit
  • Visiting Banks, Tax Offices, POs and vendors as per requirement.

Qualification and Experience:

  • Bachelor degree in Finance/Accounting from recognized University.
  • Minimum 1 years of Experience working in similar position.
  • Minimum 1 year of working experience in development sector, I/NGOs. Previous experience in INGOs is preferable.
  • Experience and understanding in performing financial management activities in accordance with Social Welfare Council norms and regulations.
  • Fluency in English and Nepali, strong written and oral communication
  • Basic knowledge of financial management of restricted donor funding, reporting, procurement procedure, grant management, grants equipment and donor rules and regulations for non-profit organizations.
  • Leadership experience in budget management (including project budgets), financial planning and analysis.
  • Basic understanding of internal financial controls and year-end procedure. Basic Knowledge of Internal, External and Project Audit.
  • Strong computer skills on accounting software (Money Works) and Windows package.
  • Demonstrated leadership, versatility, and integrity.

  • The candidate will demonstrate attention to detail, be completely trustworthy, act in an appropriate professional manner at all times and ability to work under supervision, in a team and independently when required.
  • Result oriented, achiever, ability to challenge existing methods and mindsets.
  • The candidate will demonstrate the capacity to work under stressful conditions respecting deadlines.
  • Candidates with open ideas and thoughts with flexibility to work as per the project needs are desirable.
  • Candidates with two wheeler vehicle and with necessary driving license are highly preferable.
  • Availability to start the job in January 2018

Organization Summary
